By signing a Lease or Agreement with George Estates Ltd. you become a Tenant of George Estates Ltd. and we retain the contact information that you provide. If you choose not to give us this personal information, it may delay or prevent us from meeting our obligations. It may also mean that we cannot perform services needed to operate your Lease or Agreement. It could mean that we cancel a Lease or Agreement you have with us.
We will keep your personal information for as long as you are a Tenant of George Estates Ltd. After you stop being a Tenant, we may keep your data for up to 7 years to respond to any complaints, to show you that we treated you fairly and to maintain records.
We have installed CCTV at all of our premises covering both internal areas & the exteriors of the buildings, including car parks. They are not installed within private tenant premises or in areas where individuals would expect a high level of privacy. The CCTV systems are operated in accordance with the UK General Data Protection Regulation and the Data Protection Act 2018.
We operate CCTV for the purpose of assisting with the investigation of incidents, ensuring the safety & security of tenants, visitors, contractors and staff, crime prevention/detection, and for protecting buildings, vehicles and other assets and our customers’ possessions. We consider having CCTV installed as a key selling point for our business. Our lawful basis for processing CCTV images is legitimate interests, namely maintaining the safety and security of our premises and those who use them. CCTV is not used for routine monitoring of tenants or staff performance.
CCTV operates 24 hours a day. Footage is recorded digitally and stored securely with password protection. Images captured on CCTV will not be kept for longer than necessary, typically this is up to 30 days and is then automatically overwritten. However on occasions there may be a need to keep images for longer, for example where an incident is being investigated, insurance claim or legal proceedings.
CCTV footage may be shared with;
You have the right to view CCTV images of yourself which can be actioned by placing a Subject Access Request (SAR) directly with us. We may request proof of identity and sufficient information (such as date, time and location) to enable us to locate the relevant footage. Requests will be handled in accordance with applicable data protection legislation. We will only disclose images to other authorised bodies for the purposes stated above i.e. to aid a police investigation. We will respond within one calendar month, in accordance with UK GDPR. Where footage contains images of other individuals, we may redact or blur third parties to protect their rights. If we are unable to comply with the request, we will explain the reason in writing. We reserve the right to refuse or charge a reasonable fee for requests that are manifestly unfounded or excessive, in accordance with the law.
We operate all CCTV and disclose in accordance with the codes of practice issued by the Information Commissioner’s Office. Individuals also the right to lodge a complaint with the Information Commissioner’s Office.
The Landlord does not manage, access, or control any tenant-operated CCTV systems and accepts no responsibility for their operation or compliance. Tenants remain fully responsible for ensuring that their CCTV systems comply with all applicable legislation and regulatory guidance.
The data that we collect from you is processed by staff who work for George Estates Ltd. Such staff may be engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. All information you provide to us is stored on our secure servers.
When contacting George Estates Ltd. we may use your personal information to tell you about relevant products, services and offers. This is what we mean when we talk about ‘marketing’. We can only use your personal information to send you marketing messages if we have either your consent or a ‘legitimate interest’. We do not share your information with any third parties for marketing purposes. We do, however, use third party software to send out emails. Currently we use Mailchimp. If this changes we will let you know in advance by email.
Yes, you can ask us what information we hold about you and we will make this available to you within 30 working days. We will also correct any information that we hold about you that is incorrect. Customers can ask to be removed from our database list at any time by using the contact details at the bottom of this privacy statement, or you can unsubscribe by using the links on the bottom of our marketing emails. We will process this request as soon as reasonably possible, but usually within 5 working days.
